Knowledge management software: five questions to ask before choosing

Knowledge base, wiki, document management or knowledge mapping: which knowledge management software answers which need, and the five questions that decide.

In short

"Knowledge management software" covers four families that do different things: the knowledge base (answer fast), the wiki (write together), document management (keep records) and knowledge mapping (measure what the organisation knows and risks losing). KnowledgeCapital belongs to the fourth, and connects to the other three instead of replacing them.

The four families

FamilyWhat it does wellWhat it cannot tell you
Knowledge base / FAQAnswer a frequent questionWhat nobody wrote
Wiki (Confluence, Notion…)Write and find togetherWho can do it, and whether that is rare
Document managementKeep, version, proveTacit knowledge
Knowledge mappingMeasure what you know, who knows it, what you will loseIt does not replace the other three

The five questions that decide

1. Does the software know what you do not know?

A tool that only contains what was typed into it is blind to the essential. Ask how it spots knowledge held by a single person.

2. Is risk measured or declared?

A "risk: high" box ticked by a manager is worth his mood that day. A score that rises by itself when a holder leaves is a measurement.

3. Where does your data go?

Some knowledge cannot leave your walls. Check that running it on your own servers, with local AI, is possible without losing features.

4. What happens the day you leave?

A complete export, re-importable elsewhere, documented. Without reversibility, the vendor owns you.

5. What becomes of your wiki?

It stays, and so do your document management system and your intranet. KnowledgeCapital reads them read-only — Confluence, SharePoint and Microsoft 365, document management systems through CMIS or WebDAV, Notion, your intranet — and links each page to the knowledge it documents. Confluence is a trademark of Atlassian; SharePoint and Microsoft 365 are trademarks of Microsoft Corporation; Notion is a trademark of Notion Labs, Inc. KnowledgeCapital is neither affiliated with nor endorsed by these companies.

Pricing, plainly

Per tracked person per month, from €6 to €22 depending on the plan, with a 14-day trial and no card. A self-hosted edition exists for organisations that require it.

To compare tools criterion by criterion, the twelve-criterion grid offers a weighting method and a fourteen-day trial protocol; to start on a blank space, follow the set-up order.

Frequently asked questions

What is the difference between knowledge management and skills management?

Skills management says who holds which certificate. Knowledge management as KnowledgeCapital practises it says who can actually do the job, at what level, and what happens if that person leaves.

Can we start small?

Yes. One site, one department, a dozen critical pieces of knowledge. The map then grows structure by structure.

Does it work offline?

The self-hosted edition works with no outbound connection at all, video conferencing and CV reading included.

No card. A space pre-filled with five years of demonstration data.

A knowledge ERP: what your ERP does not manage

An ERP manages stock, orders and payroll. It does not know who is the only person able to restart the line. KnowledgeCapital is the ERP of that resource.

SharePoint knowledge base connector: setup and limits

The SharePoint connector reads your site pages and document libraries via Microsoft Graph, read-only, and links each file to the knowledge it describes.

DMS and knowledge management: Alfresco, Nuxeo, CMIS, WebDAV

Your DMS keeps documents; it does not say who knows. The connector reads Alfresco, Nuxeo or Nextcloud through CMIS or WebDAV, read-only.

Intranet knowledge management: map knowledge, no migration

Your intranet publishes procedures; it does not say who can apply them. The connector reads its pages, even without a sitemap, and feeds the knowledge map.
