Notion and knowledge management: measuring what is critical

Notion lets every team organise its pages, and nobody knows any more what is critical. How to connect Notion, read-only, to a measure of that risk.

In short. Notion is very flexible to write in, but silent on risk: it says neither who holds a piece of knowledge nor what a departure takes away. The Notion connector is shipped: an internal integration, a token, and only the pages you share with it are read, block by block, then attached to measured knowledge.

Notion is the most flexible tool in its category. That is its strength and its limit. Every team builds its own filing, its own databases, its own conventions — and after two years nobody in the organisation can say what is in there, let alone what is missing from it.

Filing is not measuring

A well-kept Notion database answers “where is the document?”. A knowledge management approach answers “what are we going to lose, and when?”. Both questions are useful; they do not call for the same tool. The second one requires knowing the people, their levels of mastery, their departure dates and the processes that depend on them — none of which lives in a page workspace.

Connecting takes one token

Notion works through an internal integration: you create a token in the settings, then you share with that integration the pages or databases you agree to let it read. The scope is exactly what you share — no more, no less, and Notion itself guarantees it.

Pages are then read block by block — headings, paragraphs, lists, tables —, proposed as attachments to your knowledge items, and cited in search with a link that reopens the page in Notion.
